Should she email a Word form to the team? I finally asked her <strong>what&#8217;s wrong with <a href=\"https:\/\/www.microsoft.com\/en-us\/microsoft-365\/excel\" target=\"_blank\" rel=\"noopener noreferrer\">Excel<\/a>? <\/strong><\/p>\n<p>I suggested she build the form in Excel, post it up to SharePoint, that way everybody on the team has access to the same document and you don&#8217;t have to tease the data out of 50 different emails.<\/p>\n<p style=\"padding-left: 40px;\"><em>You know Bob the Boss likes clear directions with bullet points on his forms and you can&#8217;t do that with Excel.<\/em><\/p>\n<p><strong>Say what?<\/strong> &#8211; Well newbie <strong>you can make pretty text in Excel.\u00a0<\/strong> Here&#8217;s how&#8230;..<\/p>\n<h3>Use the right font<\/h3>\n<p>W<a href=\"https:\/\/www.microsoft.com\/en-us\/microsoft-365\/excel\" target=\"_blank\" rel=\"noopener noreferrer\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" class=\"alignright wp-image-114285 size-thumbnail\" title=\"Microsoft Excel\" src=\"https:\/\/i0.wp.com\/rbach.net\/wp-content\/uploads\/logo_excel-e1590172569144-75x64.png?resize=75%2C64&#038;ssl=1\" alt=\"Microsoft Excel\" width=\"75\" height=\"64\" srcset=\"https:\/\/i0.wp.com\/rbach.net\/wp-content\/uploads\/logo_excel-e1590172569144.png?resize=75%2C64&amp;ssl=1 75w, https:\/\/i0.wp.com\/rbach.net\/wp-content\/uploads\/logo_excel-e1590172569144.png?resize=150%2C128&amp;ssl=1 150w, https:\/\/i0.wp.com\/rbach.net\/wp-content\/uploads\/logo_excel-e1590172569144.png?w=586&amp;ssl=1 586w\" sizes=\"auto, (max-width: 75px) 100vw, 75px\" \/><\/a>hen you have a lot of information to present &#8211; the temptation might be to use a small font\u00a0 &#8211;\u00a0 don&#8217;t people will ignore it if they can&#8217;t read it. When it comes to choosing the <strong>best font for displaying both text and numbers<\/strong>, the font you choose matters.<\/p>\n<p>From a <strong>readability<\/strong> point of view, the Times New Roman font is <a href=\"https:\/\/www.journalofaccountancy.com\/issues\/2017\/apr\/what-fonts-work-best-in-excel.html\" target=\"_blank\" rel=\"noopener noreferrer\">considered<\/a> to be <strong>easier and faster to read<\/strong> compared with other fonts. <a href=\"https:\/\/web.archive.org\/web\/20240204113631\/https:\/\/www.fonts.com\/font\/monotype\/times-new-roman\/story\" target=\"_blank\" rel=\"noopener noreferrer\">Times New \u00adRoman<\/a> is a serif typeface introduced in 1932 by the British newspaper <a href=\"https:\/\/www.thetimes.co.uk\/\" target=\"_blank\" rel=\"noopener noreferrer\"><i>The Times<\/i><\/a>. The Times New Roman font&#8217;s <a href=\"https:\/\/www.fonts.com\/content\/learning\/fontology\/level-1\/type-anatomy\/serif-vs-sans-for-text-in-print\" target=\"_blank\" rel=\"noopener noreferrer\">serif design<\/a> makes reading easier because the<strong> characters are more recognizable<\/strong>. But styles evolve over time:<\/p>\n<ul>\n<li>Times New Roman font was fashionable in the 1970s;<\/li>\n<li>The <a href=\"https:\/\/web.archive.org\/web\/20230929072509\/https:\/\/www.fonts.com\/font\/linotype\/helvetica\/story\" target=\"_blank\" rel=\"noopener noreferrer\">Helvetica<\/a> font was the go-to font in the 1980s;<\/li>\n<li>The <a href=\"https:\/\/web.archive.org\/web\/20231210050847\/https:\/\/www.fonts.com\/font\/monotype\/arial\/story\" target=\"_blank\" rel=\"noopener noreferrer\">Arial<\/a> font was dominant during the 1990s;<\/li>\n<li>The <a href=\"https:\/\/www.fonts.com\/font\/microsoft-corporation\/verdana\/story\" target=\"_blank\" rel=\"noopener noreferrer\">Verdana<\/a> font was widely adopted in the 2000s:<\/li>\n<li>The <a href=\"https:\/\/web.archive.org\/web\/20210516205639\/https:\/\/www.fonts.com\/font\/microsoft-corporation\/calibri\/story\" target=\"_blank\" rel=\"noopener noreferrer\">Calibri<\/a> font is widely used today.<\/li>\n<\/ul>\n<p><a title=\"Microsoft\" href=\"http:\/\/www.microsoft.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Microsoft<\/a>\u00a0(<a title=\"NASDAQ | MSFT\" href=\"https:\/\/www.tradingview.com\/symbols\/NASDAQ-MSFT\/\" target=\"_blank\" rel=\"noopener noreferrer\">MSFT<\/a>) introduced<strong> Calibri<\/strong> with Windows Vista in 2006. It is basically a skinnier version of the Arial font. The Calibri font was specifically <strong>engineered to be highly legible for both alphabet and numerical characters on today&#8217;s smaller handheld devices<\/strong>.<\/p>\n<p>Now that you have made a good choice for your font use it. The Font list is on the Home ribbon- Click font and select the font you want to use. (<em>No Wing Dings or anything that starts with Gothic right?<\/em>)<\/p>\n<div style=\"text-align: center;\"><iframe loading=\"lazy\" src=\"https:\/\/www.youtube.com\/embed\/WKz8d0AfX2M\" width=\"350\" height=\"115\" frameborder=\"0\" allowfullscreen=\"allowfullscreen\"><\/iframe><\/div>\n<p>&nbsp;<\/p>\n<h3>Break up the text<\/h3>\n<p>When you have a lot of information to explain about a certain task, it\u2019s helpful to include a few paragraphs in one cell. By default, a bunch of text in a cell is truly unreadable. But &#8211; you can make Excel <strong>display pretty paragraphs<\/strong>.<\/p>\n<p>First your need to <strong>expand the column width<\/strong>. The column width will determine how many lines are needed to display the text. <strong>Use one wide column rather than multiple rows<\/strong> for lengthy text entries for greater readability and for any lists of data.<\/p>\n<p>To <strong>expand the column width<\/strong> put your cursor on the cell boundary and <strong>left click on your mouse and drag<\/strong> your column out. Click in the cells (or an entire row or column) where you want to display your text. Add as much content as you&#8217;d like to the cell. You will have a big blob of text. To improve its readability &#8211; <strong>insert line breaks<\/strong> in the cell. Bullet points are a great way to concisely convey important pieces of information or instructions.
